Opportunity Overview
This is a 12-months contract opportunity supporting the Asia Talent Acquisition team. As a key member of the team, you will provide coordination and administrative support across the full hiring lifecycle for our operations in the SAOI region (Malaysia, Singapore, Thailand, India, Vietnam, Australia and/or New Zealand).
You will partner closely with hiring managers, and key stakeholders to attract, assess, and hire top talent while delivering an exceptional candidate and hiring manager experience.
Recruiting Support:
- Manages end-to-end interview scheduling across candidates, hiring managers, and interview panels, coordinating across multiple calendars and time zones.
- Maintains accurate and well-ordered documentation on applicants, interview schedules, on-boarding documents and other recruiting activities.
- Maintains candidate records, interview feedback, requisition data, and recruitment documentation within our Applicant Tracking System (ATS).
- Proactively communicates recruiting procedures and status to candidates, recruiters and hiring teams. Support the delivery of an exceptional candidate experience by ensuring timely communication and responsiveness to candidates throughout the recruitment process.
- Build and maintain effective working relationships with hiring managers, HR Partners, candidates, and external vendors to ensure a seamless recruitment process
- Coordinates, arranges and/or administers pre-employment assessments, health checks and background checks in line with each country's local requirements
- Arranges candidate travel and processes interviewee and recruiting team expense requests
TA/Talent CoE Support:
- Ensures Company and local legal compliance with employment practices, policies, and processes.
- Contributes to the continuous improvement of the Talent Acquisition function by recommending and assisting in the development and implementation of solutions that drive increased value for internal clients in terms of reduced costs, improved efficiencies, quality, service, technology, and processes.
Regional Support:
- Local duties, including filing and management of employee record files, reporting and project-related work, as assigned.
- Support regional and global talent acquisition projects and initiatives.

- Minimum 3 years in a recruiting coordinator or a relevant administrative assistant role, ideally with exposure to multi-country or APAC recruiting.
- Experience working with SAP/SuccessFactor and recruitment technologies is preferred.
- Experience in a high-paced transactional environment and delivering within tight turn-around times.
- Strong problem-solving, organizational, and time management capabilities.
- Strong stakeholder management and communication skills with the ability to engage effectively across multiple countries and functions.
- Able to handle data with confidentiality, and mindful of data privacy requirements across different APAC jurisdictions.
- Ability to work independently and learn processes and systems quickly.
- Proactive, resourceful and takes initiative.
- Must have experience scheduling and handling multiple calendars and time zones.
- Strong working knowledge of Microsoft Outlook Email and Calendar and Microsoft Teams applications.
- Familiarity with local labor/employment practices in one or more of Malaysia, Singapore, India, or Thailand is an advantage.
