Front office

  • Greeting office visitors/front desk
  • Reception/ Telephone
  • Receiving and handling packages in/out
  • Recording and sorting shipping documentation
  • Matching goods in/out
  • Service management for ordinary/extraordinary office maintenance
  • Managing Office Training (coffee breakfast, lunch, diplomas, supplies)
  • Managing Reception Cash
  • Managing Milan and Catania Meetings and Events
  • Supporting Hotel, Residence long/short term bookings
  • Car Service booking for customers
  • General office Assistance for employees and guests

Back office

  • Domestic and international shipments in Milan Office and Catania Office (remote service)
  • Parcels (Instruments/test system part) shipments for services department
  • Tracking and shipping R&R Boards – remote shipping – checking freight costs
  • Matching invoices shipments goods
  • Reviewing and checking importation documents (customs bills)
  • Checking couriers invoices (DHL + Fedex)
  • Managing AP_italy mailbox (invoices and administrative communications)
  • Managing Purchase Orders (Milan, Catania and France Offices) in Oracle
  • Issuing PO for:
    • office: Purchasing supplies office, vendor machines, cleaning and safety supplies, etc, etc
    • IT-Team (Computers, accessories, services)
    • Supporting office department (GCS, Sales, SEG, Finance)
    • Management promotional and marketing supplies
  • Closing, revising and managing Oracle Purchase Orders
  • Reporting Oracle Italy Purchase Orders
  • Supporting employees safety courses/diplomas
  • Managing maintenance office agreements
  • Managing office waste regulations: Documentations and Certifications Milan and Catania Office
  • Managing Office Ticket Restaurants (Milan and Catania): issuing new cards, recharging cards
  • Managing monthly employees tickets and timesheets (Milan and Catania)
  • Recording and sorting employees medical examinations certificates

 

Basic Qualifications, Experience, Skills & Education Required

  • Welcoming attitude
  • Computer skills in MS Outlook, MS Office, Oracle
  • Commercial degree
  • Italian, English medium level
