Opportunity Overview
You will join our Bangalore office as the person who keeps it running — the single point of contact for facilities, office administration, and the day-to-day logistics that sit behind our sales, service, and repair operations in India.
This is a broad and genuinely central role. On one side, you will own the office itself: vendors, facilities, housekeeping, supplies, courier handling, and front-of-house support for visiting colleagues and guests. On the other, you will take ownership of the documentation and coordination behind physical goods moving in and out of our office and repair hub — delivery challans, e-way bills, e-invoices, and inward and outward registers for spare parts, demo robots, and customer units in for repair.
That second half matters more than it might first appear. These documents are what allow us to demonstrate to government authorities that goods held on site are not for sale, and gaps in them carry real exposure. Today this work is spread across several team members alongside their primary roles. You will bring it together, close the gaps, and make it reliable — freeing our sales and service teams to focus on customers.
You will work closely with our service and repair team, sales and distribution colleagues, logistics and customs partners, and the wider Teradyne Robotics organisation.
Your responsibilities and tasks include:
Office administration and facilities

Act as the primary point of contact for the Bangalore office, including liaison with building security, the facility management team, and other external parties.

Manage facility maintenance and repair work — air conditioning, furniture, electrical, and general upkeep — coordinating vendors through to completion.

Manage housekeeping staff, including scheduling, supervision, and quality of service.

Order, receive, and verify office and pantry supplies, ensuring the team is well provisioned without over-ordering.

Receive and validate incoming couriers, routing them promptly to the correct team or individual.

Manage invoices for office supplies, pantry, facilities, and vendor services, ensuring accurate records and timely processing.

Track and reconcile office assets, including issued and returned laptops and equipment.

Provide reception and front-of-house support, welcoming guests, managing meeting rooms, and maintaining an on-site presence during office hours.

Act as single point of contact for office relocations, expansions, or fit-out projects, coordinating vendors and internal stakeholders.
Logistics documentation and compliance

Own the preparation, filing, and accuracy of delivery challans (DC), e-way bills, and e-invoices for all inbound and outbound shipments.

Maintain complete and auditable inward and outward registers for all goods received into or dispatched from the office and repair hub.

Ensure inward document details are correctly referenced on outward documentation so that inbound and outbound movements can be traced end to end.

Track demo robots sent to distributors, ensuring returns are recorded and reconciled within the required timeframe and that supporting documents are traceable.

Close existing gaps in documentation for repair cases, spare parts sales, and demo units, and put simple, repeatable processes in place to prevent them recurring.

Support audit and accounting requirements by coordinating with the sales, service, and finance teams on purchase orders, challans, and e-way bills.

Maintain documentation to the standard required for inspection by government authorities, ensuring goods held on site can be correctly evidenced as not for sale.
Repair hub and shipment coordination

Receive and sign for customer-sent parts, robots, and inventory deliveries into the repair centre, including arranging physical handling and transport within the site.

Receive and file inbound shipment e-way bills and e-invoices; create and file the corresponding outbound documentation.

Book inbound and outbound shipments with delivery vendors and coordinate collection and delivery of parts to and from the separate warehouse.

Liaise with service partners on pickup dates and times for repaired parts and spare parts purchases.

Coordinate with the customs clearance partner for inbound stock shipments.

Maintain an accurate working knowledge of where spare parts are located within the repair hub.

Process dispatches for warranty claims, repaired parts, and spare parts purchases, including retrieving parts from shelves and preparing them for courier pickup.

Monitor stock levels and raise replenishment orders in good time.

Mandatory Qualifications:

Bachelor's degree in Commerce, Business Administration, Logistics, or a related field, or equivalent practical experience.

3+ years of experience in office administration, facilities management, or logistics coordination, ideally in a product, engineering, or manufacturing environment.

Working knowledge of Indian goods movement documentation — delivery challans, e-way bills, and e-invoices — and the GST compliance context around them.

Demonstrated experience maintaining accurate records and registers to a standard that withstands audit or inspection.

Experience managing vendors and service providers, from courier and delivery partners to facilities and housekeeping.

Strong organisational skills with a genuine attention to detail — this role rewards people who notice when a document is missing.

Good written and verbal communication in English; conversational Kannada or Hindi is an advantage for vendor and facilities coordination.

Proficiency with Microsoft Office, particularly Excel and Outlook, and comfort learning new internal tools and portals.

Full-time on-site presence at our Bangalore office during working hours.
Proficiency required in at least five of the following qualifications:

GST-compliant documentation and hands-on use of the e-way bill and e-invoice portals.

Inventory or stock management, including replenishment and cycle counting.

Import and export coordination, including working with customs clearance agents.

Vendor negotiation and management of annual maintenance contracts.

Invoice processing, purchase orders, and basic accounting or bookkeeping workflows.

Facilities and workplace management, including health, safety, and access control.

ERP or inventory systems such as SAP, Oracle, Zoho, or similar.

Warehouse or repair centre operations and goods handling.

Asset tracking and IT equipment lifecycle administration.

Supporting internal or statutory audits with documentary evidence.

Event coordination and travel or visitor logistics for visiting colleagues.

Office relocation, expansion, or fit-out project coordination.
